What the Evidence Supports

The research on personal time tracking and productivity methods is thinner than the market implies. What holds up, what does not, and how to read a claim.

Productivity advice is sold with confidence that the underlying research does not support. Knowing which parts are solid changes what is worth doing. Organisations asking the same question at team level can compare their process with this product overview: define the purpose, make the record visible to the people in it, and interpret time data alongside finished work rather than on its own.

What is reasonably well supported

People are poor at estimating their own time use from memory. Recall consistently overstates long work hours and understates fragmented time.

Interruption has a real recovery cost, and returning to a task after a switch takes measurable time.

Writing something down changes behaviour in the short term, across many domains, not just time.

And sleep displacement has clear effects on almost everything else, which makes it the one measurement with an unambiguous interpretation.

What is weakly supported or contested

Specific numbers for task-switching costs. The often-quoted figures come from narrow laboratory tasks and generalise badly.

That any particular work-interval length is optimal. The twenty-five-minute figure is an arbitrary starting point from one person's method, not a finding.

That tracking improves output. Little evidence either way; most of what exists measures satisfaction rather than production.

And that multitasking has a fixed percentage cost, which is a number in wide circulation with no stable source.

Why the research is difficult

The outcome — did you spend your time well — is not objectively measurable.

Self-report is the main instrument and it is the thing being questioned.

Studies are short, small, and run on students or knowledge workers, which does not cover most people's lives.

And the effect being looked for is small relative to the noise of an ordinary week.

How to read a claim

Ask what was measured. "Improved focus" usually means people said they felt more focused.

Ask on whom, and for how long. Two weeks with forty students is not a basis for a universal claim.

Ask what it was compared against. Against nothing, most interventions look effective.

And treat any precise percentage about attention or switching as decoration unless the source is given and checkable.

What this means practically

Use tracking for the things it demonstrably does: correcting a bad estimate, finding where a specific activity's time goes, producing a defensible billing record.

Do not expect it to make you more productive by itself. The evidence for that is not there.

And prefer the cheap methods, because the difference in usefulness between them is smaller than the difference in cost.

The one solid recommendation

If you do nothing else in this whole subject: compare your estimate of where a week went against an actual record of one week.

The gap is almost always large, it is specific to you, and it is the only finding here that reliably changes behaviour.

That exercise is two weeks of low effort and it is where this collection would send everybody first.

What to check

Does the method you are using rest on a number somebody quoted at you?

Can you find where that number came from?

Have you ever compared your estimate against a record?

And would you notice if the tracking were doing nothing?

The one exercise worth doing

Write down where you think last week went, then measure one week.

The gap is large, specific to you, and it is the single finding in this subject with real evidence behind it.

Worth keeping in mind

Anybody quoting a confident percentage about attention, switching or multitasking is quoting something whose source will not bear it. Ask where the number came from and the question usually ends the discussion.
